Covid-19 Guidance 5 of 5

5. Track & Trace Registers For Player Attendance

All sports clubs MUST record the attendance of those who participate in training sessions and games during the ongoing Covid-19 pandemic. The purpose of this is to help the NHS get in touch quickly with those who may have been in contact with anyone who tests
positive for Covid-19. These records must be kept for 21 days.

Coaches MUST record Track & Trace Registers by using Pitchero, either through the desktop site or Manager’s App. This is the quickest, easiest and most secure way of storing the information; and the data can then be easily exported and shared with the relevant
authorities if needed.

This covers the players at the club who are under the age of 16 and acts as our database FOR
PLAYERS AND COACHES ONLY. All other attendees (parents, carers, spectators, volunteers
etc) over the age of 16 MUST use the NHS QR codes at each venue to record attendance for
Track and Trace purposes.

Training attendance should be recorded immediately following the session and the team
selection MUST be filled out in good time in the week leading up to the game.

Coaches: please make sure you can access the Pitchero website and/or Manager App. We
strongly recommend assigning two Admins for your team as well within Pitchero, so the
task of tracking & tracing participants can be shared.

By using Pitchero’s free training and match selection features, parents will be able to set
availability first from within the Club App, which will save Coaches a lot of time with keeping
Track & Trace Registers up to date.

Further information on how to track & trace players using Pitchero can be found on their blog here.

If you’re experiencing any issues with using Pitchero for Track & Trace, or with assigning
Team Admins – please email Bob Davidson.
